These Terms (“Terms”) govern how you — our visionary visitor, client, collaborator, or creative co-conspirator — engage with SOANE HeritageAI Architects Ltd and our services, tools, and experiences.

By using our site, filling in a form, joining our system, booking a call, or commissioning our work, you agree to these Terms. If you don’t agree — that’s okay, but please step gently away from the Vision-to-Value™ platform.

2. 💼 What You’re Agreeing To

By engaging with any part of our offering (website, forms, videos, calls, emails, Notion dashboards, GHL automations, etc.), you agree that:

  • You won’t misuse our intellectual property (more on that below)

  • You’ll respect our time, tools, and process

  • You’re responsible for the accuracy of information you provide

  • You’re over 18 and legally able to enter into agreements

  • You’ll only use our services for lawful, ethical purposes

  • Any payments made are binding, subject to refund terms below

3. 📦 Our Deliverables

We provide services on a project, retainer, or consultation basis. Deliverables may include:

  • Concept development, visual assets, or systems

  • Templates, guides, forms, scripts, or Notion workspaces

  • AI-generated imagery or architecture drafts

  • Advisory calls, content, and personalised strategies

Deliverables are defined by your agreed package or offer and may evolve over time to better serve your objectives.

We strive for brilliance — but please note:

  • We do not guarantee specific financial or planning outcomes

  • You are responsible for how you implement the materials we provide

  • Timelines depend on your input, response, and participation

📸 Visualisation & Image Disclaimer

Our visual materials — including AI-generated images, concept drawings, and illustrations — are provided for conceptual, exploratory, and inspirational purposes only.

They do not constitute:

  • Planning Permission

  • Listed Building Consent

  • Technical Specifications

  • Construction-Ready Documentation

We cannot be held liable for:

  • Any planning refusal, project delay, or dispute arising from misinterpretation or misuse of our visuals

  • Any real estate transaction (purchase, sale, valuation) made based on these images

  • Any action taken by a third party based on these materials

While we are RIBA Chartered and follow professional standards, the use of these materials without our direct involvement in the formal planning process is at your own risk.

These images remain the intellectual property of SOANE Architects Ltd unless explicitly transferred in writing. Do not distribute them beyond personal or internal team use without prior written consent.

(That said — we know our clients love to share. If you’re passing these around to friends, agents, or admirers, just let us know so we can support you properly.)

For planning services, listed consent, or technical development — we’re here to help.
Many clients transition from visualisation to full architectural services with us.

4. 💸 Payment Terms

Unless otherwise agreed:

  • All payments are due in advance or as scheduled in your invoice

  • Late payments may result in restricted access or paused services

  • We use Stripe, GoHighLevel, or secure payment links

Refunds & Cancellations:

We do not offer refunds for:

  • Services already rendered

  • Digital assets or systems accessed

  • Completed advisory calls

Exceptions (at our discretion) may include:

  • Technical issues or duplicate charges

  • Cancellation within 24 hours before delivery or call

5. 🧾 Intellectual Property

Unless otherwise stated in writing, all materials we create or provide remain the intellectual property of SOANE HeritageAI Architects Ltd.

This includes but isn’t limited to:

  • Vision-to-Value™ frameworks

  • AI imagery or architecture drafts

  • Notion dashboards or workflows

  • Custom prompts, scripts, and automations

  • System designs, branding assets, or deliverables

  • Any element labeled “proprietary,” “premium,” or “licensed”

Materials may not be copied, reused, resold, or passed off as your own. Licensing terms can be discussed for broader use.

6. 🧩 Client Responsibilities

We create exceptional work, but co-creation is a two-way street.

You agree to:

  • Provide timely, accurate information

  • Respond to communication within agreed timeframes

  • Use the systems and workflows as intended

  • Respect the intellectual boundaries of our materials

  • Ensure compliance (e.g., GDPR) if collecting user/client data via our tools

Where applicable, you are responsible for third-party accounts (Notion, Canva, Slack, GHL, etc.) required to run the systems we deliver.

7. 🤖 AI Disclosure

We use generative AI tools (e.g., ChatGPT, Midjourney, DALL·E) as part of our workflows. These tools are:

  • Crafted by human input

  • Used ethically and transparently

  • Designed to support, not replace, human creativity

Outputs may contain similarities to other generative work due to shared training data.
We strive for uniqueness but cannot guarantee absolute exclusivity.

8. 📜 Limits of Liability

To the maximum extent permitted by UK law:

  • We are not liable for indirect, incidental, or consequential damages

  • Our total liability is capped at the amount you paid us in the last 6 months

  • All use of our materials is at your discretion and risk

Nothing in these Terms affects your statutory rights.

9. 🔄 Changes to These Terms

These Terms may be updated to reflect:

  • Evolving services

  • Legal or regulatory shifts

  • Improved processes

We’ll notify you via email or update the page with a “last modified” date.
Continued engagement implies acceptance.

These Terms are governed by English law. Disputes will be handled first via amicable discussion, then mediation, and only if required, formal legal proceedings.
